1. Who we are

QalamClip ("QalamClip", "we", "us", "our") is a service that turns long-form videos, such as lectures, khutbahs and podcasts, into short clips. QalamClip is the data controller for the personal data described in this policy.

This policy covers qalamclip.com, the QalamClip web app, and any related emails and support (together, the "Service"). It should be read alongside our Terms of Service.

2. Information we collect

Information you give us

  • Account details: your email address and password when you register, and the display name, creator handle and creator type you add during onboarding. Your password is handled by our authentication system. We never store it in readable form.
  • Team details: the names of team workspaces you create or join, your role in them, and invitations you send or receive, including the invitee's email address.
  • Video sources: links you paste (for example, YouTube URLs) and video files you upload.
  • Instructions: clip settings, duration choices, briefs and other instructions you give us.
  • Chat messages: the questions you ask in Video Chat and General Chat.
  • Correspondence: anything you send us by email or through support, such as questions, feedback or plan enquiries.

Information we create when providing the Service

  • Media and metadata: the video and audio we fetch from the links you give us, plus details such as title, channel name, thumbnail and duration.
  • Transcripts: speech-to-text transcripts, including labels that separate different speakers (for example, "Speaker 1" and "Speaker 2"). We don't identify who a speaker is.
  • Face positions: where faces appear in each frame, so the Service can keep speakers in view when it reframes to portrait. See section 4.
  • Outputs: clips, thumbnails, subtitles, titles, suggested Qur'an and hadith references, video overviews and chat answers.
  • Account activity: your credit balance, credits used and refunded, project status and history, collections and notifications.

Information collected automatically

  • Technical data: IP address, browser and device type, and the dates and times of your requests. We record these in server logs.
  • Browser storage: small items saved in your browser to keep you signed in and remember your preferences. See section 11.

We don't use advertising trackers, analytics tools or tracking pixels, and we don't buy data about you from third parties.

Payment information

Credits are bought through Stripe's hosted checkout. Stripe collects your card details directly, and we never see or store them. We keep records of what you bought, when, and what you paid, along with the email address your receipt is sent to and any billing details you give us for invoicing.

3. How we use your information, and our legal bases

We only use personal data when we have a legal basis to do so. Under the UK and EU General Data Protection Regulation (GDPR), these are:

Where we rely on legitimate interests, we have weighed them against your rights, and you can object at any time (see section 10).

4. AI and automated processing

QalamClip relies on automated systems. To be clear about what they do:

  • Speech recognition turns your video's audio into a timed transcript.
  • Language models read the transcript to detect the type of content, pick clip moments, write titles, suggest scripture references and answer your chat questions. Chat answers may involve web searches based on your question.
  • Face detection finds where faces are in the frame so the portrait crop follows the speaker. It locates faces but does not recognise or identify people, and it doesn't create facial templates. The stored face positions are only used to crop videos.

No training on your content. We don't use your videos, transcripts, chats or outputs to train AI models. The providers that run these systems for us process your content only to provide the Service.

No significant automated decisions. These systems help you edit. They don't make decisions about you that have legal or similarly significant effects.

5. Religious content and sensitive information

Much of the content on QalamClip is religious, and a video or chat may reveal someone's religious beliefs. We don't ask for this information about you and don't use it to profile anyone. We process such content only to do what you asked, for example producing clips or answering questions about a lecture. We don't use it for any other purpose.

Videos you process may show or feature other people, such as speakers or audience members. You're responsible for having the right to use that content (see our Terms). If you appear in content processed on QalamClip and have a concern, contact us.

6. How we share information

We do not sell or rent your personal data, and we don't share it for advertising.

Service providers

We use carefully selected providers to help run the Service. They act only on our instructions, receive only the data they need, and are bound by contracts that include confidentiality and data-protection obligations. They fall into these categories:

  • Cloud infrastructure: hosting, databases, file storage, video processing, authentication and email delivery.
  • Speech recognition: turning audio into transcripts.
  • AI processing: content analysis, clip selection, reference suggestions and chat answers.
  • Media retrieval: fetching videos from the links you give us.
  • Content delivery: serving web fonts and static files for the site.
  • Payments: processing card payments and preventing fraud (Stripe).

We can provide a list of our current service providers on request.

Your team

Anything created in a team workspace, including projects, clips, collections, chats and the team's credit balance, is visible to that team's members. The team owner and admins can see the member list and manage invitations. Your personal workspace is visible only to you.

Legal and safety

We may disclose information if the law requires it, or if it's needed to protect the rights, property or safety of our users, the public or QalamClip. This includes responding to valid copyright complaints.

Business changes

If QalamClip is involved in a merger, acquisition or sale of assets, your information may be transferred as part of it. If that happens, it will stay protected by this policy or one that is at least as protective, and we'll let you know.

7. International transfers

Our providers may process data outside your country, including in the United States. When we transfer personal data out of the UK or EEA, we rely on an adequacy decision or on appropriate safeguards, such as the European Commission's Standard Contractual Clauses or the UK International Data Transfer Addendum. You can ask us for more detail.

8. How long we keep information

When you delete your account, we remove your personal data from our active systems. Any copies left in backups are deleted on their normal rotation cycle. We may keep some information for longer if the law requires it or if we need it to settle a dispute or enforce our terms.

9. Security

We use technical and organisational measures to protect your data, including encryption in transit, access controls that keep each account and team's content separate, restricted internal access, and short-lived signed links for downloads. No online service can be completely secure. If a breach affects your personal data, we'll notify you and the relevant authorities as the law requires.

You can help by choosing a strong password, keeping it private, and only inviting people you trust to your team.

10. Your rights

Depending on where you live, you may have the right to:

  • Access: get a copy of the personal data we hold about you.
  • Correct: fix inaccurate or incomplete data.
  • Delete: ask us to erase your data. You can also delete your account yourself in Settings. If you're the only owner of a team, you'll need to hand over ownership first so the team isn't left without one.
  • Portability: receive your data in a structured, machine-readable format. You can download your clips from the app at any time.
  • Restrict or object: ask us to limit how we use your data, or object to uses based on legitimate interests.
  • Withdraw consent: wherever we rely on your consent.
  • Complain: to your data protection authority, for example the ICO in the UK or your local supervisory authority in the EU. We'd appreciate the chance to sort things out first.

US residents: depending on your state, you may have similar rights to know, access, correct and delete your data. We don't sell or "share" personal data for targeted advertising as those terms are defined in US state privacy laws. We won't treat you any differently for exercising your rights.

To make a request, email support@qalamclip.com. We may need to verify your identity first. We'll reply within one month, or sooner if the law requires. Requests are free unless they are clearly unfounded or excessive.

11. Cookies and browser storage

We don't use advertising or analytics cookies. We only use your browser's storage for things the Service needs to work:

  • keeping you signed in;
  • remembering which workspace you last used;
  • remembering your preferences, such as theme and default clip settings;
  • holding a video link you pasted before signing in, so you can pick up where you left off.

Because these are strictly necessary, they don't need your consent. You can clear them in your browser at any time, but you'll be signed out.

12. Children

QalamClip is not intended for anyone under 16, and we don't knowingly collect their personal data. If you think a child has given us personal data, contact us and we'll delete it.

13. Changes to this policy

We may update this policy as the Service changes. When we do, we'll change the date at the top. If the changes are significant, we'll let you know by email or in the app before they take effect.
